Privacy and Data Use

Shipper's Advocate, Inc. does not, and will not provide your name, contact or payment information to any party other than you, and your payment processor, without your express, prior, written permission unless required to by a court order.

Your package information, which may contain identifiable information about the parties you ship packages to and receive packages from, is used as sparingly as possible; on package tracking sites to obtain delivery and progress scan information; to obtain refunds from your carrier(s) and report back to you.  Package information will not be given to anyone other than the tracking sites, your carrier(s) and you, without your express, prior, written permission unless required to by a court order

Data Security

·        Shipper's Advocate treats your data with the same care that it protects its own internal data.  Servers are in a physically secure location, protected by up-to-date virus and malware scanning tools and robust firewalls.  Encrypted communications are used whenever transmissions outside the servers occur.  Access to data and programs is limited to those with an operational need to know.

·        YOU ARE RESPONSIBLE FOR THE PROTECTION OF PASSWORDS USED TO ACCESS YOUR ACCOUNT AND THE INFORMATION AVAILABLE ON THE SHIPPER'S ADVOCATE SYSTEM and YOUR CARRIER’S SYSTEMS.

 

Data Retention

Information about You as a Customer of Shipper's Advocate, Inc.

  • Information about you, your company and your method of payment is kept on our servers for one year after you cease to be a customer and we have collected any monies due, whichever comes later.

Invoice, Manifest and Package Data – On Shipper’s Advocate Servers

  • Raw manifest data and invoices are deleted monthly
  • Data required for tracking and obtaining refunds is kept in the active database tables for 6 months.
  • At the end of 6 months the data is removed to a set of archive tables that the operational programs do not access.
  • Data is accumulated in the archive tables until March 1 of the next year. On or about March 1 the data in the archive tables is deleted.

Invoice, Manifest and Package Data - Offsite Backup Data

  • Backups of all files are taken monthly and put on DVDs which are stored off site. These DVDs are destroyed when they are 18 months old.
